Standard Operating Procedure (SOP) Supplementary Examination for the Social Welfare Study Program:
The Supplementary exam service in the Social Welfare Study Program, FISIP UMM, is provided for students who, for valid reasons, are unable to attend their scheduled exams. The service allows students to take their missed exams at a later time, provided they follow the proper procedures and meet the established criteria.
Health Issues
Students who are unable to attend the exam due to illness must provide a medical certificate from a licensed doctor or hospital confirming their inability to participate.
Official Academic or Non-Academic Activities
Students involved in official activities such as competitions, internships, student exchanges, or other university-recognized events may apply for a make-up exam with proof of participation, such as an official assignment letter.
Family Emergencies
Students facing critical family events such as a death in the family, weddings, or other urgent matters can apply for a make-up exam by providing relevant documentation or certificates.
Accidents or Unexpected Situations
Students involved in accidents or facing unforeseen emergencies (such as natural disasters) can request a make-up exam with appropriate documentation, such as a police report or medical report.
Special Circumstances
In rare cases, special considerations may be given to students dealing with unique personal circumstances that prevent them from taking the scheduled exam. This requires approval from the Head of the Study Program and supporting evidence.
Submission of Application by the Student
Students must submit a make-up exam application to the program's administration office or through the online academic system. The application should be submitted within 3 days after the missed exam. It must include the student’s details (name, NIM, course code, and lecturer), the missed exam date, and the reason for absence.
Submission of Supporting Documents
Students are required to provide supporting documents to validate their reason for missing the exam. This includes medical certificates for health reasons, official letters for academic/non-academic activities, or other relevant documents for family or emergency situations.
Initial Review by Administration
The administrative staff will review the application and ensure all necessary documents are complete. If there are any missing documents, the student will be informed and given time to submit the missing paperwork.
Approval by the Lecturer and Head of the Study Program
The application will then be forwarded to the lecturer of the course for approval. The lecturer will assess whether the reason for the missed exam is valid and determine if the student is eligible for a make-up exam. Final approval is given by the Head of the Study Program.
Scheduling of the Supplementary Exam
Once the application is approved, the administration will coordinate with the lecturer and the student to schedule the make-up exam. The exam date must be arranged within 7 days of approval, unless otherwise agreed upon due to special circumstances.
Notification of Exam Schedule
The student will receive notification of the make-up exam schedule, including the time and location. The student is required to confirm their availability for the new exam schedule.
Conducting the Supplementary Exam
The make-up exam will be conducted under the same conditions and guidelines as the regular exam. The format of the exam (written, oral, or practical) will remain consistent with the original exam.
Grading and Recording of Results
After the make-up exam is completed, the lecturer will grade the exam and submit the results to the academic administration. The make-up exam results will be recorded in the student’s academic transcript as part of the regular grading process.
By following this SOP, the Social Welfare Study Program ensures that students who miss exams for legitimate reasons have an opportunity to complete their assessments without disrupting their academic progress. The process is designed to be fair, transparent, and supportive of students’ needs while maintaining academic integrity.
